Title: Grants Program Manager

Location: Berlin / London / LA (remote-friendly, one of these cities preferred).

Compensation: $65,000 (pro-rated) — 3 month contract to start, with strong potential to extend.

Requirements: You’ll have a hand in building a young, ambitious fund from the ground up, shaping a program that turns creative vision into tangible global change. You’ll be at the centre of a direct line between funding and the stories that actually shift perspectives and move the needle on the world's most critical issues. The role

We're looking for someone to run our grants program end to end - from designing the call for entries to connecting projects to mentors to compiling final grant reports. You'll be the connective tissue between filmmakers, our review committee, and the rest of the team, making sure the right films get found, funded, and supported all the way through production.

This is a hands-on, builder role at a young organisation - you'll have real ownership over how the program works, not just administer someone else's playbook.

Running the Application Cycle

  • Work with the team to understand grants and stages of funding available for each cycle

  • Structure the call for applications and application process

  • Lead outreach for each grant launch - get the call for entries in front of the right filmmakers

  • Manage our internal Grant system

  • Screen applications for eligibility and completeness, and field applicant questions

Review & Selection

  • Find and recruit Review Committee - working directors, execs, producers, festival programmers

  • Review and refine scoring rubric

  • Bring final recommendations to leadership

Grantee Support

  • Be the go-to point of contact for grantees - onboarding calls, check-ins, troubleshooting

  • Find and match mentors to grantees

  • Build grantee lab agenda

  • Organise speaker sessions and community workshops

  • Collect progress reports and rough cuts throughout production

Reporting & Impact

  • Track outcomes - festival premieres, distribution deals, awards - to prove the fund's impact

  • Report back to our own funders and board on how the money moved and what it did

  • Write up case studies and impact stories we can use in our own fundraising

Who you are

  • You’re obsessed with documentary film - and love what it can do. You're as excited talking about a rough cut as you are about a grant report.

  • You’re passionate about impact. You care about the environmental protection, animal wellbeing and social justice.

  • You have a sense of humour! Who Let The Docs Out is an organisation that understands the importance of the work, but also understands that you can’t get s**t done by taking yourself too seriously!

  • You’re scrappy! You are independent and feisty, can wear many hate, and perform well with alot on your plate.

  • You've got taste. You know a strong project when you see one - you can tell the difference between a good pitch and a great one.

  • You have experience in film. Having experience as a producer, as a curator, or as a part of another film organisation, or on the grant-giving or grant-receiving side of the industry is a big plus.

  • You're organised to a fault. Deadlines, spreadsheets, fifteen filmmakers mid-production at once - you've got it.

  • You're well-connected, or you know how to get connected fast - to filmmakers, festival programmers, producers, distributors.

Who Let The Docs Out is a filmmaker-led nonprofit that funds, mentors, and champions documentary filmmakers taking on important stories that examine our environment, systems of consumption and humans & animal coexistence.

We're small, we're scrappy, and we move fast. We’re a lean team who cares deeply about great films finding the funding, mentorship, and momentum they need to exist and have an impact on the world.

We've already put six figures into the hands of independent filmmakers in our first year, and we're just getting started.
